How We Handle Your Personal Information

Written to the Australian Privacy Principles, covering both our clients and the people who enquire through our campaigns.

Who this policy applies to

This policy explains how Tree Care Marketing handles personal information. It covers two groups of people: the tree service businesses who engage us, and members of the public who submit an enquiry through a campaign, landing page or phone number we operate on a client's behalf.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect

From prospective and current clients we collect business contact details including name, business name, phone number, email address and service area, along with the commercial information needed to run an engagement, such as billing details and campaign performance data.

From people who enquire through a campaign we operate we collect the information they provide in order to be quoted: name, phone number, email address, suburb or postcode, the type of tree work required, and any details they volunteer about the job. Where a call is answered by our AI receptionist service on a client's behalf, we collect the call details and the information given during that call.

We also collect technical information automatically when you use our website, including IP address, browser type, pages viewed and the referring source.

How we use it

Client information is used to provide and administer the services engaged, to invoice, to report on performance and to communicate about the engagement.

Enquiry information is used for one purpose: passing it to the tree service business that holds that territory so they can contact the enquirer and quote the job. Enquiry details are also used in aggregate to measure campaign performance.

Website technical information is used to understand how the site is used and to improve it. We do not use any of the above to make automated decisions that have legal effects.

Who we disclose it to

Enquiry information is disclosed to the single tree service business holding the relevant territory. That business becomes responsible for the information under its own privacy obligations once it is passed on.

We also disclose information to service providers who support our operations, including website and email hosting, telephony and call-tracking providers, advertising platforms, payment processors and accounting services. Some of these providers may store or process information outside Australia, including in the United States. We take reasonable steps to ensure any overseas recipient handles the information consistently with the Australian Privacy Principles.

We may also disclose information where required or authorised by law.

We do not sell or rent personal information.

Retention

We keep personal information only for as long as it is needed for the purpose it was collected, or for as long as we are required to retain it by law, including tax and business record obligations. When information is no longer required we destroy it or de-identify it.

Security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Those steps include restricted access to systems, encrypted connections to our website and to the platforms we use, and supplier selection that takes security into account. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If a data breach occurs that is likely to result in serious harm, we will act in accordance with the Notifiable Data Breaches scheme.

Cookies and analytics

Our website uses cookies and similar technologies to understand how visitors use the site and, where advertising campaigns are running, to measure their performance. Most browsers let you refuse or delete cookies through their settings. Refusing cookies will not prevent you using the site, though some measurement will be incomplete.

Access, correction and complaints

You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. Email info@treecaremarketing.com.au and we will respond within a reasonable period. If we cannot provide access or make a correction, we will explain why.

If you believe we have breached the Australian Privacy Principles, contact us first at the same address setting out the issue. We will investigate and respond. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The current version is always the one published on this page.

Frequently asked questions

How do I ask for a copy of my information?

Email info@treecaremarketing.com.au with enough detail to identify the records, such as the phone number or email address you used. We will respond within a reasonable period and will tell you if we are unable to provide access, along with the reason. There is no charge for making a request.

Do you sell personal information?

No. We do not sell or rent personal information to third parties. Enquiry details generated by our campaigns are passed to the single tree service business holding that territory so they can quote your job, and that disclosure is the purpose for which the information was collected.

How long is my information kept?

Only as long as it is needed for the purpose it was collected, or as long as we are required to keep it by law, including tax and business records obligations. Information no longer required is destroyed or de-identified. Enquiry records passed to a tree service business are also subject to that business's own retention practices.
